Manager Finance & Operations (m/f/x)

Location: Mexico
Business Unit: Information Security
Manage Finance, Tax and Treasury for Realsec Mexico (on-site) and support and structure Sales Backoffice & Supply Chain in the LATAM Region.

Your tasks

  • Financial, Tax, HR and Admin Topics:
    • Take over the accounting work for the entity and do all postings in the ledger, including month-end/year-end bookings (based on Corporate Schedule and Statutory Requirements)
    • Take over tax and treasury work, interface with tax advisor
    • Manage AR Invoicing and customer collections
    • Provide guidance in VAT tax matters to Sales Reps for their quotes
    • Take over payroll work including commission calculation, interface with third-party consultant
    • Take over local Purchasing for direct and indirect material & services
    • All staff admin work (commission plan calculation, vacation schedule, etc.)
    • All Controlling for the LATAM (Revenue Forecast from SAP, Cost Center Controlling and Budget Planning)
    • All payment / treasury issues (sending / cashing checks, administration of Online Payment Portal) and manage Petty cash
    • Manage PO process in SAP
    • Approve All travel booking
    • Act as Office Manager and Corporate Secretary of the entity
    • Corporate Compliance work for the entity
  • Sales Back Office and Supply Chain Work:
    • Check/validate and convert Customer POs to Orders in SAP and make delivery booking and create invoices
    • Interface with Warehouse/HQ for inventory, shipping and goods management; interface with HQ supply chain to determine the stock level und moving
    • Follow-up commercial processes (RMA, loan agreements, demo)
    • Ensure that Sales Reps maintain SFDC leads, opportunities and quotes and defined Standard & Processes (RMA, loan units)
    • Be the SAP & SFDC key user for the team
    • Support Sales team in customer facing activities (organising Marketing, Trade Fairs)
  • Be part of the LATAM team and drive it for individual performance and productivity
  • Regularly discuss individual employee team performances and provide constructive suggestions for improvement and rewarding accomplishments
  • Act as Business Partner to team, enable and facilitate success while guidelines and rules are followed
  • Ensure that formal staff performance reviews for all team members are conducted on a biannual basis with supplementary reviews, including the talent audits, as required (including direct and indirect reports)
  • Identify the future needs of the team and ensure that individuals receive the development and coaching they need, identifying and addressing poor performance and attendance

Your profile

  • University B.Sc. or B.A. or Postgraduate training in Supply Chain Management
  • Solid and sound hands-on worker especially for all accounting, finance and sales back-office work
  • Experience in establishing supply chain functions
  • Working within supply chain of a technology company, ideally a global organisation
  • Extensive hardware sourcing and supply chain experience, e.g. shipping terms, business processes with hardware
  • Integration of supply chain management functions from external acquisitions
  • Strong knowledge of IT hardware sourcing and shipping (esp. server and appliances)
  • Sound commercial understanding (Forecasting commitment, POs, invoice check, negotiations)
  • Improving processes and controls
  • Excellent communication skills at all levels
  • The ability to work to deadlines whilst maintaining accuracy and attention to detail
  • Inquisitive, detail-oriented with strong quantitative and analytical skills and innovative approach to problem solving
  • Advanced MS Excel, Word, PowerPoint skills
  • Good understanding of ERP Goods Management and Finance tools
  • Strong written communication and presentation skills  
  • Project management and delivery mentality 
  • Full working proficiency in English & Spanish
